Email signature software that keeps every employee's signature correct and on brand

Set the template once. AutoSignature fills in each person's name, title and phone and applies it across Google Workspace and Microsoft 365, in Outlook, Gmail and Apple Mail, on desktop and mobile.

Four things are wrong with your company signatures right now

  1. 01

People who changed job title a year ago still sign every email with the old one.

  2. 02

The legal disclaimer sits in some employees' footers and is missing from the rest.

  3. 03

Mobile mail apps drop the signature and sign the message with the name of a phone instead.

  4. 04

Every campaign banner turns into marketing chasing the whole company by email.

None of that is anyone's fault. A signature lives inside each person's mail client, so the only way to change it is to reach every mail client, and nobody has a way to do that. Email signature management software is the way to do it.

One template, every employee signed correctly

You build the template once in the studio and map the fields to your directory. Name, job title, department, phone, office and photo are filled per person, so 40 people get 40 correct signatures from one design instead of 40 attempts at pasting the same HTML.

Brand and legal stay current without a chase

A new logo, a new campaign banner or a new disclaimer is a change in one template. It reaches every mailbox in the groups you choose, and it reaches them in minutes instead of over the weeks it takes to ask people twice.

Rollout in an afternoon, reversible in one click

Connect the tenant, pick the groups, deploy. Every rollout is versioned with who changed what and when, so if a template goes out with the wrong phone number you roll it back in one click rather than sending a second round of instructions.

How it works

See how rollout works
  1. 1

    Connect your tenant

You sign in as an administrator of Google Workspace or Microsoft 365 and grant AutoSignature the permission to read your directory and to set signatures. Nothing is installed on anyone's computer and no mail is routed through us.

  2. 2

    Build the template

The studio holds 12 layouts and a brand editor for logo, colours, fonts and spacing. Directory fields go in as tokens, so the template shows a real signature as you edit it rather than a grid of grey boxes.

  3. 3

    Deploy to groups

You choose who gets which template: by department, office, country or entity. Deployment runs against the directory, the preview shows what each group receives, and the rollout history records it.

Build a working signature right here, no account needed

The studio below is the real rendering engine, not a picture of one. Pick a layout, set the brand colour, switch the add-on blocks on and off, then change the employee at the top and watch the same template fill itself with another person's name, title and phone. That switch is the whole product in one click.

  • Sample workspace: three organisations to start from, each with its own name, mark and accent colour.
  • Four layouts: stacked, two columns with a divider, compact with the logo on the left, and wide with a banner.
  • Add-on blocks: marketing banner, legal disclaimer, social links, meeting link, short mobile variant.
  • Client preview: Outlook, Gmail, Apple Mail and mobile, so you see what each of them does to the layout.

The output is table-based HTML that mail clients render the way you designed it. Copy it and use it today, with or without an account.

What this costs, and what it replaces

AutoSignature is one flat price for the company, not a line item that grows with every hire. A 150-mailbox company pays the same 299 dollars a month in January and in December, whether it hired 10 people or 30, which is a number you can put in a budget and forget.

  • A rebrand reaches every inbox the same afternoon instead of drifting out over a quarter while old logos keep arriving in customers' mail.
  • A missing disclaimer in a regulated business is a compliance finding. One disclaimer rule per country and entity closes it, and the rollout history shows when it was applied.
  • Signature tickets stop. Every joiner is signed correctly on day one from directory data, and nobody walks anyone through Outlook settings again.
  • Roles keep the two sides apart: marketing edits banners, IT owns deployment, and neither can break the other's work.
  • Enterprise adds SSO with SAML, SCIM provisioning, audit export, a signed DPA, an uptime SLA and invoicing against a purchase order.

Email signature software pricing, one price for the whole company

Every plan is a subscription, monthly or yearly, renewing until you cancel. Yearly is about 20 percent below monthly. No per-seat line, no add-on packs, no credits.

Team $99 $79 billed $948 a year Up to 25 mailboxes, 3 template sets, 1 brand, 1 banner at a time, 2 admin seats
Scale $799 $639 billed $7,668 a year Up to 600 mailboxes, unlimited template sets, 10 brands, unlimited banners, 20 admin seats
Enterprise Talk to sales Custom Unlimited mailboxes and brands, SSO, audit export, SLA, invoicing Talk to sales

Business is the plan we recommend by default, and it sits in the middle of the range on purpose: 150 mailboxes at 299 dollars is close to two dollars a mailbox, which is what the per-seat tools charge the same company before their higher tiers.

Does AutoSignature work with both Google Workspace and Microsoft 365?

Yes, and both are first-class. You connect one tenant or both, and the same template set deploys to each of them. Read the details for Google Workspace and for Microsoft 365.

Do the signatures work on phones?

Yes. You deploy a short mobile variant of the same template to iOS and Android mail, so a message sent from a phone carries the name, title and company instead of a line about the device.

Do signatures appear on replies?

Yes, and you choose what appears. Reply-aware templates put the full signature on the first message and a short block on replies, so a long thread does not collect the same logo ten times.

How long does rollout take?

An afternoon for most companies. Connecting the tenant takes minutes, building the first template takes an hour or two, and deployment to the first group runs while you watch the preview.

What happens to the signatures people already have?

They are replaced by the template you deploy to that person's group. Nothing else in the mailbox is touched, and the rollout history lets you roll back to the previous state in one click.

Do you read the content of our email?

No. AutoSignature reads directory fields to fill the template and writes the signature to the mailbox. Mail is not routed through us and message bodies are not read or stored.

Can marketing change banners without IT?

Yes. Roles are separate: the marketing role edits banner campaigns and their schedules, the IT role owns templates and deployment, and neither role can change the other's part.

How does billing work, and can we pay by invoice?

Plans are monthly or yearly by card, and they renew until you cancel. Enterprise is invoiced against a purchase order, annually or on a multi-year term.
